CLIENT CHALLENGE

Our client was hosting a convention with over 15,000 delegates all of whom required safe, efficient and comfortable transport options across a five day event. The project required VIP transport for senior organisational leaders, convention speakers as well as coordinated shuttles for thousands of delegates between numerous hotels and a variety of official venues. We needed to ensure accessibility for all attendees, including those with mobility challenges, and comfortable travel for all in the equatorial heat was a priority. The geographical dispersal of the accommodations and the varying physical capabilities of the the attendees meant the client needed to utilise a variety of public transport modes - including buses, trains and private passenger vehicles. The client’s past experiences with 'ghost buses' (privately chartered transport that had not been registered with the convention organisers) had caused significant logistical issues and unnecessary costs to the client at past events. The ultimate goal was to ensure that every delegate had smooth and safe transport to official venues each day, and to reduce overcatering and associated costs, due to ghost bus bookings.

SCRIPTUS SOLUTION

Scriptus led the collaboration with local and international event transport partners and local authorities to understand the convention's specific needs and any local regulations and requirements. We worked hand-in-hand to manage the procurement of vehicles and established a network of local transport providers, ensuring reliable service delivery. Leading and participating in efficient journey planning, relevant staff deployment, and oversight of core communications were key elements in the smooth coordination of the transport requirements. Scriptus sourced, trained and deployed 100 local temporary staff to act as wayfinding personnel to assist delegates. These staff were equipped with detailed knowledge of venue locations, public transport options, pedestrian routes, and the best entry points to ensure smooth navigation throughout the event. Our team also ensure safety protocols and contingency plans were developed to mitigate any risks - including the early identification of ghost buses services.

RESULTS

The convention was a significant success, with the 15,000 plus delegates efficiently transported between venues, receiving high satisfaction ratings for service accessibility and reliability from attendees. Scriptus’ collaboration strengthened partnerships with our local and international event partners leading to positive feedback on the professionalism of all staff and the overall management of transport logistics. With effective project management from Scriptus and our partners, we were able to successfully deliver seamless transport solutions, ensuring a positive experience for all attendees. We also managed to save our client considerable headaches and expense by the early identifiction of ghost bus services.
