CO-ORDINATING MOBILITY AND ACCESSIBLE TRANSPORTATION FOR LARGE EVENTS
CLIENT CHALLENGE
A large international client was hosting their annual convention in a geographically dispersed Asian mega-city and had a specific requirement to ensure accessible transportation services for all delegates, including those who may have significant mobility challenges. Given the location of the event, transportation for the delegates was going to be primarily reliant on the extensive existing public transport network. The client also needed to research and source dedicated assisted transport options to be identified to ensure the necessary inclusive and equitable access to the convention’s various venues, for all delegates.
SCRIPTUS SOLUTION
Scriptus was engaged to support the wider transport planning for the event as a specialist in demand responsive transport. To uphold service quality for both pre-booked and on demand services, Scriptus implemented several responsive measures that enabled the seamless provision of accessible and dignified transport for any delegates who required additional assistance.
· Additional Mobility Vehicles & Extended Services: Scriptus negotiated the supply of additional vehicles, extended hours of service, and the deployment of supplementary drivers with local vendors.
· Dedicated Mobility Transport Team & Waiting Area: A Mobility Transport team was sourced locally and assembled, with a designated waiting area stationed conveniently near the convention information desk and various transport loading areas.
· Enhanced Communication & Booking System: A designated mobility email, phone number and mobility request form had been established to manage and streamline requests and enquiries. Scriptus incorporated additional communication processes to forecast estimated collection times, service requirements, and changes to existing bookings.
· Mobility Equipment Support: Recognising the shortage of available mobility aids, Scriptus staff sourced local suppliers for delegates wishing to hire equipment for the duration of the convention.
· Health & Safety Measures: To support delegates impacted by heat and humidity, Scriptus negotiated the installation of water stations and First Aid attendants to be located at the Mobility Transport desk. First responders could immediately assess whether a delegate required medical treatment or any additional mobility assistance.
RESULTS
While majority of delegates with mobility challenges pre-registered prior to convention commencement, demand increased rapidly due to several unforeseen factors:
· Fatigue and jetlag significantly affected a large proportion of the mature age delegation.
· The convention’s tropical location proved difficult for delegates accustomed to colder climates, with humidity and unpredictable weather contributing to discomfort and an increase in potential health concerns.
· Limited access to mobility aids, such as scooters, wheelchairs and walking aids at both the venue and hotels resulted in greater reliance on vehicular mobility services.
· Last minute attendance changes due to weather and ill health increased ad-hoc mobility transport requests.
It quickly became evident that demand for accessible transport would continue to rise, requiring the Scriptus team to pivot and respond and make live, immediate adjustments to the anticipated services required.
