CLIENT CHALLENGE

A large publicly listed Australian company had multiple groups internally managing their tender responses as well as the identification of opportunities.  With their internal staff turnover impacting organisational readiness and challenges in submitting quality responses, due to increasingly complex requirements in tenders, there was a need to centralise their efforts and re-organise their response processes.  The company engaged Scriptus to streamline the identification of tender opportunities, and implement a structure and process that enabled their internal staff to utilise more time on their commercial and operational offering and the building of a cohesive and impactful responses to speed up response times. 

SCRIPTUS SOLUTION

Scriptus implemented its Tender Tool Kit product that begins with reviews of existing tender responses, analysis of feedback and market scans of all relevant opportunities across Australia in the last 5 years.  This process allows identification of core competitors, and a timeline of opportunities to be defined.  The team then worked hand-in-hand with the client to set up a centralised structure to identify opportunities and combined this with the monitoring of tenders on a daily basis.  The central piece of the service Scriptus provided was to design and build a bespoke internal Tender Toolkit that defines the process from internal business case and go/no go decision making, through to creating a catalogue of all necessary compliance items and a document bank of existing answers. This suite of response was redrafted by the experienced Scriptus team to meet the requirements of the various procurement teams running the tenders in each individual state the client operates in. The client now has a detailed and up-to-date single source of truth that outlines all internal knowledge points, policies, processes and documentation that will be required to support the development of any future tender responses.  This structure allows our client to not only spend their valuable time on what makes a difference in their bid, but it has also systematised their processes to allow them more opportunities to bid and increase their chances of success. 

RESULTS

By using the Scriptus Tender Toolkit, our client was able to respond to more than 12 complex tenders worth more than $29 million in service contracts enabled in the first three months after delivery of the Tender Tool Kit - including a single month where 6 complete tender responses were able to be submitted, where previously no more than 2 had been possible.
